VIRTUAL EVENT MANAGEMENT: WHEN TO CHOOSE LIVE, SIMULIVE, AND ON-DEMAND

Engagement is quickly becoming the new word of 2021 event strategy, pushing COVID-19 out of the way. With the entire world moving to the virtual realm, companies are struggling to keep engagement high while battling fierce competition.

The main benefit of a virtual event is its ability to keep the audience interested. The main downside is the lack of in-person contact. Over the past year, businesses learned to create top-notch events that don’t just match the efficiency of in-person interactions but exceed them.

5 THINGS TO CONSIDER WHEN CHOOSING AN EVENT TECHNOLOGY PLATFORM

Transitioning from an in-person to a virtual event presents a fair share of challenges even to a seasoned event planner. Having the perfect digital event strategy doesn’t mean your event will be flawless, as technology has its challenges any given day.  A lot of things can go awry — the key speakers’ video feed might crash, the chat feature might not work properly, or even the platform itself might be unstable. If such challenges are not prevented, your credibility and bottom-line could be in serious jeopardy.

Can One Virtual Meeting Platform Rule Them All?

The “inevitable” event tech consolidation trend that started in 2019 is on steroids in the late pandemic era as bulked-up platforms infused with venture capital are racing to offer one-size-fits-all, end-to-end options for meeting professionals looking to streamline their virtual and hybrid meetings while startups emerge to solve specific meeting professional needs.

The announcement yesterday that London-based virtual streaming giant Hopin was purchasing New York-based physical event services company Boomset was another step in the direction of an end-to-end hybrid meeting solution.

Where Does #EventTech Go from Here?

It goes without saying that the last year has been…long. And yet it also seems only yesterday that pots were being banged at 7 p.m. and Italian tenors were singing “Nessun Dorma” to their apartment blocks in lockdown. Time has been particularly elastic in the last year, and (meaning no disrespect to those that have lost or suffered) that’s been particularly the case in the #eventtech space, where more innovation in digital and hybrid events has come in the last year than in quite some time. I often get asked if I think that pace will continue. Let’s look at history to find clues to our future.

Getting started with online virtual events

Virtual Reality

Virtual events have been growing in popularity for several years, and for 4 good reasons.

1) The technology behind virtual events has been constantly maturing to deliver engaging digital experiences that offer better returns on investment than participating in an in-person event.
2) Participants appreciate saving time and money by attending conferences remotely instead of having to travel.
3) The COVID-19 pandemic in 2020 raised concerns about international travel and participating in crowded events, pushing even more events online.
4) Rising anxiety over climate change and the trend for green/eco-friendly travel further raised the appeal of virtual events.

As a result of the pandemic, businesses have been forced to cut back their events teams and in some cases, remove them altogether. While this saves on costs, putting the challenge into the hands of infrequent or inexperienced planners can be a risk to the success of your investment.

The State of Virtual Events

At Aventri, we acted quickly back in March to secure partnerships with leading virtual event providers to provide a solution to our customers who had canceled events due to COVID. Then, over the last few months we took the time to develop and build our own virtual event platform in house that filled a gap in the market and met the needs of our customers.

One thing that was discovered over these past few months is that virtual and digital experiences are a new territory for many meeting and event professionals. Helping your marketing team put on monthly webinars is not the same as pivoting your in-person conference online.

Will All Virtual Events Run on This New Zoom Platform in the Future?

Zoom quickly became the go-to video conferencing platform during Covid-imposed quarantines and work from home orders last year, but event professionals just as quickly realized its limitations and moved to more robust virtual event providers.

That hasn’t stopped Zoom from trying to capitalize on the virtual events market, albeit a bit late. Last October, the company released OnZoom, a virtual event marketplace that was designed to help mainly small businesses and entrepreneurs pivot events like fitness classes and art lessons online and monetize them — à la Eventbrite.

exVo Virtual Event Platform by Allseated [Review]

exVo is relatively unique in the virtual event platform space as it’s an avatar-based 3D platform. It was developed by gamers, and as such it has a distinct video game feel where users join immersive environments and can explore and interact with their surroundings.

exVo was built upon the existing infrastructure of the Allseated floor planning system, which has been around for close to a decade. This means that exVo has access to Allseated’s library of 3D scaled real venues that can be used as backdrops for virtual events, as well as Allseated’s larger catalog of furniture, decor, and objects that planners can use to customize their event.
